Oversight Committee

Current Oversight Committee Members

  • Dr. Howard Bergman - Professor, Geriatric Medicine, McGill University, Montreal, Quebec

Purpose

The primary purpose of the Oversight Committee (OC) for the BC Network for Aging Research (BCNAR) is to guide and support the operations of the network.

Membership

  • Members are nominated and approved by the BCNAR Executive Committee.
  • Membership shall consist of 1 provincial, 1 national and 1 international representative
  • Members should have expertise in networking and generating research

Term of Office

Members are normally appointed for a two-year term, with the option of serving an additional term. Former members may be reappointed after a break in service of at least one year.

Roles

One member will be elected by the OC as Chair and one as Secretary. The Chair will hold office for a two year term, with the option of serving an additional term. The Chair:

  • Ensures integrity of OC processes
  • Maintains a positive working relationship with OC and BCNAR Executive Committee members; and
  • Ensures that an OC self-evaluation is completed annually.

Duties

The Oversight Committee is directly responsible for:

  • steering BCNAR towards its mission and guiding its strategic planning
  • ensuring that the program of activity on which the funding award is based is implemented as described
  • approving BCNAR Executive Committee (currently comprised on BCNAR Co-leaders) and evaluating performance
  • ensuring BCNAR is transparent in its operations and decision-making, including communicating to members and other stakeholders
  • ensuring BCNAR Executive Committee members understand their roles and avoid conflicts of interest
  • reviewing and approving BCNAR’s budget
  • reviewing and approving plans for the succession of the Executive Committee and Co-leaders

Reporting

The Oversight Committee is required to provide to MSFHR:

  • details of the nomination process for committee members
  • terms of reference for the committee, including operating and conflict of interest guidelines; and
  • on an annual basis, a current list of committee members, and minutes of the committee meetings for the past year.

Operational Protocol

  • The Oversight Committee will engage via teleconference, web based conference, video conference or face to face a minimum of two times per year
  • Time and duration of meetings will be determined by the Chair in consultation with Network staff
  • Administrative support for the OC is provided by the BCNAR secretariat office
  • Draft minutes of meetings will be circulated to OC members within one month following each meeting
  • The final minutes of each meeting will be distributed to the BCNAR Executive Committee
  • Oversight Committee members will receive biannual updates on BCNAR activities, including a detailed budget summary showing funds spent or committed for the current granting year

Quorum

Quorum is a majority of members.

Members are required to abide by MSFHR’s Conflict of Interest Guidelines.
